This article is for Requesters and contains guidance on how to add new organizations to your Request list. For further information please see our video tutorial on searching for an organization using the CDP database. 

If you are a returning Requester, we recommend you first create your Request list using an existing list from a previous year. If you are new Requester and do not have any historic Request lists, we recommend you create your list by uploading a CSV file. Then, please refer to the instructions in this article to add additional organizations to your Request list.

Creating a Request list by adding organizations from the CDP database

CDP recommends that you either create your Request list by ‘Using an existing list’ or by ‘Uploading a CSV file’, but you can also create your list by adding organizations individually. This process may be slower. If you decide to take this route, you will first need to sign in to your Requester Portal and navigate to ‘Manage Organizations’ in the left navigation panel of the homepage. Here, select ‘Add from database’ and then click ‘Continue’, as seen below.

Once you have finished adding all the organizations in your Request list, the last step is to submit it. Please visit our article on submitting your Request list for further information.
 

How to add a new organization

To add a new organization after your Request list has been created, you will need to first navigate to your list. To do this, click ‘Manage Organizations’ in the left navigation panel and then click ‘View’ on the Request list for the current disclosure cycle. Here, your list will be displayed, click the ‘+ Add an organization’ button at the top.

This will take you to the ‘Add an organization’ page where you will be able to search for the appropriate organization within the CDP database using specific filters. This is the same page Requesters creating their Request list by adding organizations from the CDP database will see, after following the steps outlined in the previous section.
 

 

Please see the following sections of this article for instructions on using the filters and finding the correct organization.

Once you have found the organization(s) you would like to add to your Request list, click the ‘+ Add’ button on the far right and then click the red ‘à Add organization’ button in the popup that appears to confirm this.

The ‘+ Add’ button will change to ‘Added’ to reflect this. If you would like to review your new Request list in full, scroll down in the ‘Add an organization’ page and click the red ‘View list’ button at the bottom.

Every time you add a new organization to your list, you must resubmit the list to send the new requests.

 

Adding late requests

Once you have created and submitted your initial Request list you can continue to update your list, adding and removing requests. After Discloser launch w/c June 16th, any new requests to Disclosers will be considered as “late” requests. Disclosers will be empowered to accept or decline these late requests via their Portal.

Any late requests will appear in the ‘IN REVIEW’ tab upon resubmission of the Request list. Only once the late request has been accepted by the Discloser will the request move to the ‘ALL ORGANIZATIONS’ tab. Any late requests that Disclosers decline or do not respond to will remain in the ‘IN REVIEW’ tab of the Request list.

We recommend contacting the added organizations to inform them of their new request and encourage them to accept it.

Important: After every newly accepted request, a Discloser must manually re-submit their questionnaire set up to update the questionnaire. This will ensure data synchronization and allow the Discloser to select the new Requesting Supply Chain Member in Supply Chain module questions. Any questionnaire progress already made will be retained when re-submitting the questionnaire set up.

 

Using search filters

To add organizations, you will need to search for these organizations from CDP’s database using appropriate values in the different filters, such as:

  • Search by Organization name
  • Search by Country/Area
  • Search by ID type and Organization ID
  • Search by Industry
  • Search by Organization type


Once you have filled in the information, click the red ‘Search’ button to view the results.

The definitions of each filter are outlined below. For best results, we recommend searching for organizations with a variety of filters.
 

Search by Organization name

The easiest way to begin your search for an organization is by its name. An exact match is not essential. For example, searching for “Corporation” will return multiple organizations with Corporation in their name as shown below.

Enter the full name of the organization for the best search results.

Search by Country/Area

To search by country, you can either scroll down to select a country from the dropdown list or type the country name in the filter. To see your results, click the ‘Search’ button. For instance, selecting “Canada” in Country returns the results below. 

 

Search by ID type and Organization ID

The Portal contains powerful search features to help you identify specific organizations using unique organization IDs. To find organizations using this filter, you must enter both an ID type and the full organization ID. The search button will be disabled otherwise.

Available ID types are as follows:

  • DUNS number (recommended) - The Dun & Bradstreet D-U-N-S Number is a unique nine-digit identifier assigned to a single business entity.
  • LEI - The Legal Entity Identifier (LEI) is a reference code - like a bar code - used across markets and jurisdictions to uniquely identify a legally distinct entity that engages in a financial transaction.
  • Ticker - A ticker or stock symbol is an abbreviation used to uniquely identify publicly traded shares of a particular stock on a stock market. Tickers are arrangements of symbols or characters representing specific assets or securities listed on a stock exchange or traded publicly. A stock symbol may consist of letters, numbers, or a combination of both.
  • BIC - BIC means Bank Identification Code, or Bank Identifier Code. It is an 8 to 11-character number that is used to identify a specific bank when you make an international transaction.
  • ISIN - International Securities Identification Numbers, or ISINs, are the unique 12-digit numbers that are recognized by the International Standards Organization as security identifiers for cross-border securities transactions.


Important: Both these fields must be filled for the filtered search for an organization ID to work. The system will return exact matches only. To search without this filter, click ‘Clear all filters’ on the top right.

Search by Industry/Area

To search for organizations by industry, you can either scroll down to select an industry from the dropdown list or type the industry name in the filter. To see your results, click the ‘Search’ button. For instance, selecting ‘Manufacturing’ in Industry returns the results below.

 

Search by Organization Type

Requesters can filter organizations by selecting either Other, Company, City, National Government or States & Regions as the organization type from the dropdown. To search for only companies, you will have to select ‘Organization Type’ and then select ‘Company’. See example below.

Clear all filters

You can clear all filters and start a new search by clicking the ‘Clear all filters’ button in the top right of the page, next to the red ‘Search’ button.



Advanced Search feature

If you are unable to find the organization you would like to add to your Request list using the ‘Add an Organization’ page of the Portal, you can use the Advanced Search feature. This tool connects directly to the Dun & Bradstreet DUNS number database. For additional information please refer to our FAQs on DUNS numbers.

Important: The Advanced Search feature should only be used if you are unable to locate an organization via the ‘Add an Organization’ page on the Portal. Using the Advanced Search first may prevent you from requesting the entity already known to CDP, leading to the creation of duplicate records, a misdirected request, and lower response rates.


How to access the Advanced Search

Following the steps outlined previously, navigate to the ‘Add an Organization’ page. Here, you can access the Advanced Search by clicking ‘Search’. The option for an Advanced Search will appear on the left-hand side of the page.

How to use the Advanced Search

To use the Advanced Search, input the company name and country of the organization you are searching for into the corresponding fields. You can also add the registered address of the organization’s headquarters to provide a more accurate search result.

Once any additional information has been filled in, click ‘Search’. The Advanced Search window will show organizations which have come up as a match for your search.  

There may be multiple results. To make sure you select the right organization for your Request list, check that the following details are correct: 

  • Organization name 
  • Country 
  • Address (if applicable) 

Once you have assessed the results and found the correct organization, click the organization to select it and click ‘Add’.



Including environmental issues

Your membership may allow you to request Disclosers on specific environmental issues such as forests and/or water. To request Disclosers on environmental issues on an individual organization basis, navigate to your Request list via ‘Engage’ or ‘Manage Organizations’. From here, you can search for companies and assign the relevant issues you wish to include in your request.
